Getting started with PulseCert
From brand-new account to a fully automated training center. Work through this top to bottom — most centers are live the same afternoon. The whole staff portal works like a phone app, so you can run class day from the room.
01Your first hour
- Sign in at
pulsecert.app/login with the email and temporary password from signup.
- Open Settings → Business profile: confirm your name, phone, address — then upload your logo and pick your brand color. Your public booking page restyles itself instantly.
- In Settings → Booking page, write your cancellation policy (shown at every checkout) and paste your Google review link — it gets asked automatically after each certification.
- Each section has its own Save button. Saved changes are live immediately.
02Courses & pricing
- Courses tab → Add a course: name, price, category (AHA / Red Cross / ASHI…), and type — Certification, Renewal, Blended, or Instructor.
- Click Edit on any course for the full editor: public description (this sells the course on your booking page), validity months, eCard SKU, a course logo, and which instructors teach it.
- Set renewal courses at renewal prices — the course finder routes returning students to them automatically.
Why the description matters: your booking page's guided finder uses course type + category to recommend the right class, then your description closes the sale. Write it like you'd say it at the front desk.
03Classes & your booking page
- Classes → Schedule a class: course, date, time, capacity, location. It's on your public page the second you save.
- Your storefront lives at
yourname.pulsecert.app — share it anywhere.
- Embedding into an existing website: Settings → Embed on your website → copy the one-line snippet into Wix/WordPress/Squarespace/anything. Header and footer strip away automatically; only your schedule and course finder show.
- Full classes take a waitlist automatically — when a seat opens, the first person in line is promoted and notified without you touching anything.
04Migrating from Enrollware
- In Enrollware: Reports → Student Export, widest date range, download the file and open it in Excel/Sheets → save as CSV.
- In PulseCert: Integrations → Enrollware import → paste the CSV → Import. Headers are auto-detected.
- Students, certifications, expiration dates, and eCard numbers come across — and renewal reminders start applying to your historical students immediately.
05Class day
- Open the class → Roster. Walk-in? Quick add creates and registers them in one line. Cash at the door? Mark paid.
- Check in each student as they arrive (QR-coded per registration).
- Written exam: pick it in Send exam to roster — every student gets a personal link, takes it on their phone, and scores appear on the roster live, pass/fail at your threshold. Retake = send again. Each attempt is shuffled and watermarked so questions can't be shared. Official AHA exams are copyrighted — use this for practice/custom assessments, or for official exams once your TC has AHA permission; exams must be proctored.
- End of class → Complete class: certifications issue to everyone checked in; no-shows are flagged automatically.
06eCards & Atlas
- On a completed class: Atlas CSV downloads your roster in bulk-entry column order — one upload/copy-paste into Atlas.
- When Atlas issues the eCards, click eCards on the class, paste each student's card number once, and save — every student is emailed their card number automatically and your records update.
- Send roster → marks the class as submitted so nothing slips through.
07Group & corporate deals
- Group inquiries from your booking page land in Requests & Corporate. Click Build quote: headcount × per-seat price, their site or yours, proposed date → Create & send.
- The client accepts online, then types in their own team roster — every attendee registered with zero staff data entry.
- When their check clears: Mark invoice paid — it books as revenue in your analytics and QuickBooks export. Mistake? Void reverses everything.
- Every company builds a history — quotes, wins, lifetime revenue — for easy repeat booking when their certs age out.
08The growth engines
- Renewals: reminders at 90/60/30/14/7 days before every certification expires (email, plus SMS inside 30 days when Twilio is connected). Idempotent — nobody gets double-texted.
- Referrals: every student has a personal share link (Wallet tab). A friend's first booking = 1 point; 5 points = an automatic free-class code. Newly certified students get their link by email the day after class.
- Reviews: the certification email asks for a Google review if you've set your link in Settings.
09CRM & message templates
- CRM shows your pipeline: ad leads → contacted → renewal-due → booked → completed → card sent. Click anyone for their full history — every email, text, booking, cert, and staff note.
- From a contact card you can send an email or text, log a call/note, or text them the course finder when they call asking which class they need.
- Every automated message is editable in Message templates (bottom of CRM). Keep the
{{merge_fields}}; use Send me a test to preview exactly what clients receive.
10Integrations & your data
- GoHighLevel: paste your Private Integration token + Location ID in Settings — every booking, certification, lead, and renewal-due contact syncs with tags automatically.
- Twilio: add your SID/token/number to text from your own number (US requires A2P 10DLC registration — start early, it takes days).
- Facebook Lead Ads / anything: point a webhook (Zapier/Make) at your lead capture URL in Settings — leads appear in your CRM pipeline tagged with their source.
- Ad attribution: add
?utm_source=facebook-july to any ad link — the source shows on every booking it produces.
- Your data: monthly QuickBooks-ready sales CSV from the Dashboard; full read-only API (students, classes, registrations, certifications, payments) with your API key in Settings.
11Your team
- Settings → Team: add staff by role — Instructor (schedules & runs their own classes, sends exams), Front desk (rosters, check-ins, payments), Sales (quotes, CRM), Admin (everything).
- Invites arrive by email with a login link — nobody ever shares passwords.
- Every sensitive action is recorded in the Audit Trail — who, what, when, before/after.
