Delete your PulseCert account

This page explains how to delete an account or student record used with the PulseCert Staff app (iPhone and Android) or the PulseCert web platform at pulsecert.app. It covers what happens right away, what's kept and why, and how long each step takes.

PulseCert Staff is published by PulseStart CPR & AED, Inc. ("PulseStart CPR"), the operator of PulseCert. You don't need the app installed to make a request.

How to request deletion

You can check the status of a request, or cancel it, in your account settings until it's approved.

One request per training center. If you're connected to more than one center that uses PulseCert, each center keeps its own records. Deleting at one center doesn't affect your records at another. Tell us which centers you mean, or "all."

What happens and when

Step What happens When
1. Request received You get an email confirming we received it, and the training center is notified. Right away (email requests: within 3 business days)
2. Review The center's owner or admin approves the request. A center can refuse a request only if it can't verify that the request came from you. If the center doesn't act within 14 days, PulseCert approves it automatically. Up to 14 days
3. Closed and erased at that center We email you a final confirmation. Then, at that center: your login access is closed and active sessions end; your password, login and reset links, phone number, consents and preferences, and any date of birth or guardian details are erased; your email address is replaced with a placeholder; and email addresses and message contents in that center's message logs and CRM sync records are removed. The center's CRM contact is marked "deleted – do not contact." Immediately on approval
4. Shared login Your PulseCert login is erased once no other center you belong to still uses it. If you still have records at another center, the login stays open for that center only. At the last center's approval
5. Anonymization The records we must keep (below) are anonymized. Your name is replaced with "Former student" or "Former staff" and an ID number, instructor IDs are cleared, and IP and device details are removed from audit entries. 3 years after the class or card date on the last kept record. Immediately if nothing needs to be kept.

In short: your account is deleted within 14 days of your request: your access is closed and your contact details are erased. The few records that must be kept are anonymized when their 3-year period ends.

What we keep, and why

What's kept Why How long, then what
Your name on training records: classes booked or attended, check-ins, skills and exam results, completion and card records. For staff: classes taught, check-ins, skills sign-offs and completions you recorded (with instructor IDs). Certifying organizations such as the American Heart Association require training centers to keep course records for at least 3 years, and students rely on them as proof of training. 3 years after the class or card date, then anonymized
Audit entries about actions on the record Security, fraud prevention, and proof of who recorded what Same period, then anonymized (your old email is already scrubbed at step 3)
Payment records: amounts, dates and refunds, with no name or contact details after anonymization Tax and accounting law As long as the law requires, generally up to 7 years. No card numbers are ever stored.
Opt-out ("suppression") records: the phone number or email you opted out with, at that center So that center never texts or emails you marketing again. This is the only place your number or email is kept after step 3. As long as that center uses PulseCert
A record of the deletion request (dates, who approved, what was removed) So we can show we honored it 3 years
Backups Disaster recovery Overwritten on the normal cycle, within 90 days

Kept records are never used for marketing, and no one can sign in through a closed account.

Students and minors

Your training center controls your class records. The process and periods above apply to students as well. Your AHA eCard or other card comes from the certifying organization (the AHA, ASHI or the American Red Cross), not from PulseCert, and that organization holds it. You can look up an AHA eCard with the AHA eCard lookup at ecards.heart.org. Contact it about records it holds. A parent or guardian can request deletion for a student under 18 by emailing us from the guardian contact on file. For students under 13, the guardian email on file is required.

Center owners

If you own a center's PulseCert subscription, your request goes to PulseCert, not the center. It can be approved once another owner is in place or the subscription is cancelled, so the center's student records always have someone responsible for them. We'll tell you if that's needed.

Deleting some data without deleting your account

In your account settings you can remove your phone number (that center will also stop texting it) and change your marketing preferences. For anything else, email support@pulsestartnow.com. To stop texts, reply STOP. To stop marketing emails, use the unsubscribe link in any marketing email.
